Job Duties

Customer invoicing and credit preparation

  • Post customer invoices daily, comparing shipments in ERP system to bills of lading.
  • Prepare miscellaneous invoices for monthly customer charges.
  • Obtain approval for customer credits as necessary, create and distribute credits to customers.

Cash application and collections

  • Apply customer payments and update cash forecast daily.
  • Contact customers to inquire on past due invoices.
  • Investigate and resolve customer chargebacks and deductions.
  • Maintain customer rebate process and reconcile to customer payments.

Month end processing

  • Prepare account reconciliations.
  • Reconcile credit card charges to individual receipts and upload for entry into ERP system.

Accounting Support

  • Maintain proper standard operating procedures for all accounting receivable and cash processes.
  • Ad Hoc analyses and data entry as requested by management.
  • Maintain certificate of insurance logs for external vendors.
  • Backup to Accounts Payable 

Essential Job Requirements

  • Associate's degree in accounting or related field or equivalent external work experience.
  • Intermediate to advanced experience with Microsoft Word, Excel, and Outlook.
  • Excellent verbal and written communication skills with a willingness to proactively and professionally engage with customers.
  • Must be able to effectively handle multiple projects simultaneously in a deadline driven environment.
  • Ability to work independently and as part of a team and take on new tasks with high levels of difficulty.
  • The individual will be expected to work with minimal up-front guidance and take ownership of his/her work product.
